LEEDS SCHOOLS SPORTS ASSOCIATION

Chairman’s welcome and introduction

CN – Introduced the AGM for this year and listed the items to be discussed from last years meeting. Items discussed in the last meeting

Chairman’s Annual Report

CN – LSSA are continuing to meet their statutory duties – three meetings a year – ensuring schools and pupils receive help and funding.

CN would also like to extend his thanks for the loyalty and diligence of all the LSSA members, staff in school and all who promote sport in all sections of school. Thank you to CP for all his hard work regarding Oldfield Lane and work with all the extra links. CN would like to thank PS for organising and co-ordinating football so effective and robustly. GT for his work with district sides and high school football. Thanks to DC for all his hard work in High Schools. Thanks to JS for her commitment and hard work with Netball. CN would like to thank SB for his long service especially regarding Rugby. Thanks to PS for her great co-ordination of athletics and cross country. Due to the good work this has ensured pupils from the widest possible areas have had some very memorable days, with congratulations to all pupils and participants.

CN would also like to extend his thanks to Leeds City Council and LUFC and all other agencies involved, it has been a privilege to work with throughout the year.

GT asked for recognition of Kieron Gaffey (CHCHS) in organising female football.

Oldfield Lane update

Unfortunately there is no result, however, this is not through lack of effort. Communications from Mr M Meadowcroft have resulted in a derisory offer to buy the ground, this was rejected at a previous extra meeting, we have no idea where the money is coming from. LCC are still adamant that the ground is designated for building.

LUFC and their CEO Angus Kineer have been involved in a couple of meetings with LSSA and LCC development team. This has resulted in LUFC withdrawing any contact with the action group. CP is involved to try and fund a facility in the area and has been holding meetings with local clubs. LCC are to redraw plans involving a mini pitch as yet we are still awaiting and update to see what happens next.

The ground has been used illegally by an adult team, this in effect, is trespassing which will need a solicitors letter, we understand there is also an U14’s local team that has been using the pitch. Question – Has the action group been getting a fee? PS and CP met with Mr Meadowcroft who said they receive a voluntary donation.

CP has been to see the condition of the ground as the neighbours have complained of rubbish, a dangerous wall and knotweed.

CN – LSSA will pay for items to be resolved to show we are committed to the ground. CN – would also like it to be noted that according to the email from Mr Meadowcroft the ground in the constitution states that it is only to be used by children in Leeds, however, the action group has let adults use it.

Wortley FC don’t want to move ahead with any involvement in the sale of the ground or facility enhancement until more decisions are made.

Action

The wall has been lowered and fenced, the knotweed has been cleared. The water supply is turned off at the moment and we are hoping to get permanently disconnected. Rubbish – MK has been in touch with local waste company Junk and Rubbish who have removed old mattresses, tyres and general waste at a cost of £300 (this did not include the logs) Signage - MK will arrange with Simple Signs to install 3 screw in signs to the metal gate / cut through / wall. Simple Signs to take pictures.

Treasurer’s Report

The income and expenditure was discussed. The withdrawal of investment from Utmost Wealth Investments is now frozen and closed this was at £49K plus £453.55. Total Income is showing £78434.69 Expenses:

Basket Ball has been an excellent initiative which has seen Basket Ball take off in Leeds. Cross Country is working well with a massive following. Netball has been fully paid up for the next two years Morley Schools have been excellent at running events

Athletics the hire of South Leeds is very pricey – Leeds Beckett is a lot cheaper, however, availability may be a problem.

Underspend was showing £28227.89

PS challenged this as the right hand column should be showing approx £19K GT will re do and send across the amendments it should be £19606.00 this is to be clarified.

Election of Officers and Trustees – Chair, Vice Chair, Treasurer and Secretary.

PS – No nominations for counter rolls and there is nobody to validate or propose and election which is a bit disappointing. Do we propose that elective officers continue in their rolls or pass it to a future meeting.

SB – Re election on block.

PS – Acts as secretary, however, he is paying MK to do that role. As Treasurer GT does this for free, however, would it be better for someone to be paid to do this role and GT to audit as Treasurer. MK does chase payments etc and it may be that we pay for help and LSSA oversee. CN – There are significant amounts of money over the year should we be asking someone legally to audit accounts.

GT – Charity commission, Kevin Sweetman does audit.

CP – should we employ a Finance Officer?

PS – GT would become the auditor

Action

CN – This is a matter for further discussion. Need to give it further consideration. Need formal arrangement.

This would need to be ratified at a future meeting.

LSSA membership affiliation 23-24

PS - Affiliation was reduced to half price High Schools £200, Primary Schools £60 which will bring in a reduced amount of approx £14K for this academic year. This year we will be in deficit but we knew that would happen. Do we go back to the full amount for next 23/24 academic year? Going forward Affiliation fee needs to be a varied fee not just £200 and £60 as it causes confusion in some schools.

MK – explained about chasing for P/O numbers.

PS – We will be sending out June/ July if your one of the Group of Trust school’s you can not enter until we have a P/O number.

SB – Rugby entries come through Leeds Rhinos

CP – Some Leeds Rhinos is a different funding stream so we need to ensure schools do not get confused.

Action

PS – to share standard format entry form asking for P/O number. Schools need to have shared a PO number before entering any event/sport.

Agreed – Affiliation fee for 23/24 will be High Schools £400, Primary School £200

Request for funding

PS – First request from Pat S – 17 athletes in the Cross Country Championship on 18/03/2023 she has requested £30 per member at a cost of £510.

PS – Second request from JS for the Netball association £495 for venue hire of Gateway school. Each player is paying £150 each.

PS – GT are you ok to pay these

CP- Agreed to St Barts Cup Competition funding

CP – we need to decide on what we are funding around squads. Better for whole amount to be requested.

Action

Working Party to propose for all city teams to receive £50 per squad member and it is upto the association to decide what this is used for.

Leads of city squads to send a funding request form to PS each year.

Expression of Interest

CP – would like to propose a new audio system for cross country, however, this would be a joint proposal as it would only be used 5 times a year in cc. Do we think this would be a good communication idea?

Association Reports

PS – Primary school football everything is running ok the website is very useful and we are moving forward to champion of champions and cup competitions. All is going well.

GT – High school football we promised Heads of Schools that all leagues would be finished a couple of weeks before Easter. Due to the weather and strikes this has not been possible and it needs to be extended. This is a one off and will be back to normal next year. Cups are ok most have reached the semi final stage. District sides are doing well U11 A team – 3[rd] in Yorkshire

B team – 8[th] in league

U12 – reached national competitions in semi final

U13 – top of the league at the min

U14 – Beat in the second round

SB – High School numbers have increased. Five trophies for five different schools. Girls team have qualified for the Yorkshire Finals. Leeds Rhinos Foundation introduced staff CPD for tag rugby, however there were only three applicants.

CP – Athletics dates and entries have gone out. Cross Country is excellent with a massive following and thousands of children running. There is a difficult problem with crowd control.

Leeds Sports Awards – Prince Henrys won rugby national trophy Trinity Academy Girls won national comp Gorse Academy – Impact on School Sports This is a high profile event we need to push for Primary category. We are not getting the nominations we should. This needs to be an Agenda Item for the next meeting. We need to ensure nominations to people who deserve it.

LUFC – Use of Elland Road for finals – not replied to email.
