Notification of AGM, incorporating the Council Meeting on Wednesday 30[th ] March 2022 to be held on Zoom. 4pm to 5pm.

Minutes of the Annual General Meeting

Wednesday 30[th] March 2022 at 4.00.p.m

1. Chairman's welcome and introduction.

Chris welcomed all. Introductions not necessary as all attendees knew each other.

2 Registration and apologies

As Above.

  1. The Minutes of the 2021 A.G.M. were accepted as a true record.

  2. Chairman's report including relevant minutes of previous meetings Chris Ness gave a Chairs report (copy saved in linked folder)

Janet Sammon asked if a grant awarded to netball had been paid. Graham will issue a cheque to Janet. Janet will forward the previous request for 2021.

Action:- Graham to forward payment to Janet / Netball.

The minutes of the previous Council meeting were considered and agreed as a true record.

It was noted that it had been agreed that the committee could meet to consider funding requests between regular meetings if

needed.

3 Ground sale

Graham highlighted that the council had lost a judicial review about a claim from the action group that the Oldfield Lane site was a community asset. L.C.C. feel they will win next time this is presented. LSSA do not need to be represented at such hearings. It was clarified that the Planning Dept at L.C.C. had not progressed planning well to this point. LCC are still very confident that the sale can progress and planning permission will be granted.

Graham presented a full set of accounts for LSSA. This was circulated to all members attending the meeting.(Copies available upon request) Affiliation fees collected in 4 parts.

Peter highlighted the difficulties this had caused as obtaining a PO number from these schools had proved very difficult.

Peter requested that schools from certain Academies would need to provide a PO number on entry to allow entry.

A communication for schools will be circulated by Sports associations prior to entry to any schools event.

Dear Headteacher, PE Leader, Team Coach,

Your school Academy trust requires a Purchase Order number for your school to affiliate to LSSA. In order to participate in this sporting activity you must confirm your affiliation to LSSA by providing the 2022-23 purchase order number for your school.

The Treasurer went throught the various Incomes and Expenditure Accounts and answered any questions referring to these. He confirmed a balance in the Virgin account of £56,184.64

Graham also highlighted that the £52,076 that was being moved from an investment account to the bank account. It was noted that this would mean a balance of over £100,000

The Chair thanked the Treasurer for his continued work on behalf of L.S.S.A. The meeting accepted that the Accounts were a true record of the figures shown.

  1. LSSA membership affiliation (currently £400 secondary and £120 Primary)

Pete proposed that affiliations could be reduced for the next academic year 2022-23 due to the surplus that was being carried forward. The proposal was to discount the fee to half i.e. £200 High Schools and £60 Primary. A discussion was held and a vote was unanimous.

It was also highlighted that associations could be encouraged to seek extra funding to support activities, one off events, CPD for staff and special requests. Funding for someone to lead this would be welcome. Charlie will look to see if Leeds Beckett maybe able to partner up and provide support in this area.

Dave would look to purchase Leeds Sports Shields for all the Sports that could be used year on year .

  1. Requests for funding

  2. A request for £1000 funding was made by Morley Schools Sports Association. This was agreed. Graham will forward a cheque to Jez Whawell @ Westerton Primary

  3. A request was made by Cross Country for £690.15. This was agreed. Graham will forward a cheque to Pat Schofield

  4. A request from Netball was made. Janet was not sure what she was able to claim for.This was discussed.This was agreed. Janet will readdress the amount she is requesting and Graham will forward payment to Janet/Netball when the amount is clarified.

  5. A request was made by Basketball for £523.77. This was agreed Graham will forward the funds to Ash Richardson (Ralph Thorsby)

  6. It was also highlighted that schools could make requests to LSSA to support students who have been selected/qualified to represent, City, County and District teams.

  7. Payment to continue supporting HOPE, Netball and Cross Country admin will gain be made.

  8. Graham will forward the funds to association with invoice from them.

7. HOPE

Competitions for Winter and Summer undertaken or being arranged. Dave will collate those results to find the school points totals and award winners.

  1. Association reports

Reports were received from Rugby League; Junior Football, High School Football inc. City District Sides at Under 11 to Under 15; Athletics; Netball; Basketball.

  1. Election of Officers and Trustees- Chair, Vice Chair, Treasurer and Secretary

Proposals were made elect the current officers. All agreed to serve for another year. A vote was unanimous.
