IMPACT REPORT 2020 – 2021

The Friends of King’s College School (“ The Friends ”) is a registered charity which was founded by parents in 1978. Its objectives are to further the education of pupils at King’s College School Wimbledon (“ King’s ”) and pupils at other schools in the maintained sector and overseas with which King’s has a formal relationship (“ Partnership schools ”)

During 2020/21, in accordance with our charitable objectives, The Friends supported the school community and raised over £46,100 net funds through a range of events organised by parents who donated over 4500 hours of their time. In addition, The Friends were immensely grateful to receive a legacy of £15,000. We also welcomed new parents virtually in 2020 but resumed in-person welcomes in September 2021 term.

We allocated £45,303 to projects to advance the education of those at King’s and our Partnership schools and donated £23,935 to the Bursary Fund.

We remain optimistic and planning is well underway for the return of in-person events to return in 2021 and remain enormously grateful to everyone who has attended or helped organise our events.

OUR PEOPLE

The two Vice Chairs supported the Chair and Year Group Representatives. Meetings were held regularly and the VCs always readily available to answer any queries from the group. They also looked after key relationships with both the Junior and Senior Schools, delivering a busy and coordinated diary of Friends’ events and thoughtfully planned communications to parents on a host of subjects.

Typically, over 60 Year Group Reps organised events which enabled parents to get to know one another and support event committees by mobilising hundreds of volunteers.

The 11 event committees (seven fundraising and four non-fundraising) involved parents from across year groups. All fundraising committees were chaired or co-chaired by a member of the current Friends’ Council. Parents generously gave their time to deliver enormously successful events.

The 19 Council members met regularly throughout the academic year to review activities and to decide on behalf of parents and in consultation with King’s, how best to allocate the funds raised in accordance with the charitable objectives set out in our Constitution.

Individual Council members looked after specific events and their committees or undertook supporting roles. Projects included fulfilling obligations to The Charity Commission and working with King’s to implement compliance with GDPR without stifling communication.

OUR ACTIVITIES

Our fundraising activities in 2020/2021 were limited due to Covid. We launched our own website www.friendsofkings.co.uk to host our inaugural virtual Christmas Fair and also hosted non-fundraising events where parent teams worked alongside school staff to organise the virtual Careers Fair and virtual Community Tea.

OUR IMPACT

Feedback from projects and items funded makes the efforts of our army of volunteers worthwhile. Items are purchased and integrated into use as soon as possible. Testimonials include:

Bursaries: “Going to King’s opens doors for you.”

Amplifiers: “In regular use with both school and pupil led bands and are considerably lighter than the older systems so are very popular as pupils transport them around the school site.”

Football Goals: “U12 Teams and in particular the goalkeepers have developed by being challenged but not disheartened with the correct size goals for their age group. More home fixtures have already been organised.”

Lighting Console: “It’s always a destination for lunchtime and off lesson learning for pupils wanting to learn more about this exciting aspect of technical theatre.”

FUNDS RAISED

Our fundraising efforts raised over £46,100 net. Significant contributions included:

Virtual Christmas Fair £24,989 Second Hand Uniform Sales £19,192 House Towels initiative £ 2,000

The Christmas Fair continues to be well supported even on a virtual platform offering despite increased technology set up costs.

Second Hand Uniform Sales’ revenue remains consistently strong. This is an incredibly popular affordable resource for parents. The House Towels initiative has also proven to be popular. All proceeds from Second Hand sales and towel profits go directly to the Bursary Fund.

BIDS PROCESS

Each term, the Council received collated bids from the Development Office for funds from members of the school community. Each bid took the form of a business case, endorsed by the relevant head of department, and is required to advance the education of pupils at King’s or our Partnership schools and would not otherwise be funded. The Council discussed the relative merits of each bid, requested further information as necessary and voted accordingly.

LOOKING FORWARD

We actively work to strengthen the sense of community at King’s and to further enhance the already strong relationship between The Friends and the broader school community in innovative and creative ways within the restrictions of Covid-19. We will continue to work with the school to review the bids process and ensure it best reflects the school’s budgeting timetable and educational needs. We will aim to dispense funds to projects at King’s and our Partnership schools that embody the values of The Friends. Given the current pandemic, we have adapted to new systems and technologies, in line with GDPR restrictions, and adopted CLASSLIST as a platform for communications with parents.

SPECIAL THANKS

We are immensely grateful to everyone who helped organise, support or attended our events. Without the efforts of our many supporters and volunteers, our results and the King’s sense of community would be diminished. In addition to all the Year Group Representatives and Council members, special thanks go to the following people for their outstanding contributions this year: Catherine Slattery and Sonia D’Allance de Melo ( Virtual Christmas Fair and House Towels initiative) and Emma Wilson and Michelle Corbett ( Virtual Community Tea ).

The Trustees present their report along with the financial statements of the Charity for the year ended 31 July 2021. The financial statements have been prepared in accordance with the accounting policies set out on page 8 and comply with the Charity’s constitution and applicable law.

Object of Charity

The object of the Charity is to advance the education of pupils at King’s College School, Wimbledon. In furtherance of this object, The Friends may:

§ develop more extended relationships between the staff, parents and others associated with the School, and with schools in the maintained sector and overseas with which the School has formal relationships.
§ engage in activities which support the School and advance the education of the pupils attending it, including those from schools in the public sector with which the school has a formal relationship
§ provide and assist in the provision of facilities for education at the School not normally provided by the Governing Body.

The Trustees confirm that they have referred to the Charity Commission’s general guidance on public benefit when reviewing the Charity’s aims and objectives and in planning activities.

Trustees

The management of the Charity is vested in a Council consisting of not more than twenty four members. These include the Head Master, the Headmaster of the Junior School and a member of the Governing Body of the School. The Chair, Honorary Secretary, the Honorary Treasurer and the other ordinary members are appointed at the Annual General Meeting.

Organisation

The Council meets four times a year to administer the Charity and to make decisions about expenditure on School projects. The organisation of the fundraising events is managed on a day-to-day basis by individual event committees made up of parents from different year groups of the School. Each event committee is chaired by or under the control of a current member of the Council.

Review of activities

With the support of parent volunteers and the Year Group Representatives, The Friends have completed another year of successful fundraising, although disappointingly the Covid-19 pandemic has resulted in the cancellation of many key events including Fireworks, the Annual Quiz and the Summer Ball. However, a virtual Christmas Fair was a great success and Second Hand Uniform sales have continued in a Covid compliant manner. These activities have added a net £46,181 (before school project expenditure) to the opening funds of £122,592. School projects completed during the year and contributions to the KCS Bursary Fund amounted to £81,310, with details of this expenditure in note 6 to the financial statements. As at 31[st] July 2021, £35,694 has been committed to further expenditure on school projects. Profits achieved on the sale of second hand uniforms and KCS branded merchandise are donated to KCS Enterprises as a contribution to bursaries.

During the year, a dedicated website for Friends of KCS was developed which hosted the virtual Christmas Fair, sale of merchandise such as House Towels and a platform to allow donations to be made by parents for certain purposes (virtual Community Tea and retirement gifts).

Looking forward to next year, the Trustees are planning, if regulations allow, the traditional main fundraising events again including Fireworks, the Christmas Fair and the Summer Ball.

Related party

The Charity has a very close relationship with King’s College School which is a charity and which nominates some of the Trustees of The Friends.

Risks

Internal risks are minimised by the implementation of formal procedures for the authorisation of all transactions and projects. Budgeting and expenditure control of events are formulated so that there is an excess of income over expenditure for each fundraising event. To reduce exposure to risk, monies are only committed to projects after the funds have been raised, never in anticipation.

Reserves policy

The Charity has no fixed commitments and, therefore, it is not considered necessary to hold any specific level of reserves. As monies are only allocated to projects after the funds have been raised, the Charity will usually, at any date, hold reserves some of which may already be committed to projects. It is the policy of the Charity to determine that the total of funds committed will never exceed the funds held.

Investment powers

Under the Constitution, there are no restrictions on the power of the Charity to make any investments which the Trustees see fit. Some surplus cash is placed on deposit in the COIF Charities Deposit Fund (see note 8).

Responsibilities of the trustees

The Charities Act 2011 requires the Trustees to prepare financial statements for each financial year which give a true and fair view of the Charity’s financial activities during the year and of its financial position at the end of the year. In preparing the financial statements, the Trustees are required to:

§ select suitable accounting policies that are appropriate for the Charity and apply them consistently;
§ make judgements and estimates that are reasonable and prudent;
§ follow applicable accounting standards and the Charities SORP, disclosing and explaining any departures in the financial statements and
§ prepare the financial statements on the basis that the Charity will continue in operation unless it is inappropriate to presume this.

The Trustees confirm that they have complied with the above requirements in preparing the financial statements.

The Trustees are required to manage the Charity in accordance with its Constitution, maintain accounting records which disclose with reasonable accuracy at any time the financial position of the Charity and enable them to ensure that the financial statements comply with the Charities Act 2011. They are also responsible for safeguarding the assets of the Charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.

Respective responsibilities of Trustees and Examiner

As the Charity's Trustees you are responsible for the preparation of the financial statements; you consider that the audit requirement of section 144 of the Charities Act 2011 (the Act) does not apply. It is my responsibility to state, on the basis of procedures specified in the General Directions given by the Charity Commissioners under section 145(5)(b) of the Act, whether particular matters have come to my attention.

Basis of independent examiner's report

My examination was carried out in accordance with s145 of the Act. An examination includes a review of the accounting records kept by the Charity and a comparison of the financial statements presented with those records. It also includes consideration of any unusual items or disclosures in the financial statements, and seeking explanations from you as Trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently I do not express an audit opinion on the view given by the financial statements.

Independent examiner's statement

In connection with my examination, no matter has come to my attention:

1. Accounting policies

(a) Basis of Accounting

The financial statements have been prepared under the historical cost basis and in accordance with the Charities Act 2011 and the Statement of Recommended Practice for Charities issued by the Charity Commissioners applicable to charities preparing their accounts in accordance with the Financial Reporting Standard for Smaller Entities.

(b) Enrolment fees are recognised in the financial statements when received.
(c) Income, including interest income, and expenditure are recognised on an accruals basis.
(d) Expenditure shown in the Statement of Financial Activities is split between fundraising expenditure, management and administration expenditure and direct charitable expenditure
(e) The charity is exempt from UK income and capital gains tax due to its charitable status.
(f) The charity is exempt from the requirement to prepare a cash flow statement under Financial Reporting Standard No.1.
(g) The Friends are pleased to receive gifts in kind and services donated by members and local businesses. Because of the impracticality of valuing such gifts, and their relative immateriality, these are not itemised in the accounts.

8. COIF Charities Deposit Fund

This represents an investment in a Common Deposit Fund set up under section 25 of the Charities Act 1993, now section 100 of the Charities Act 2011, and a scheme of the Charity Commissioners dated 27 June 1995. The fund has a rating of AAA, the highest possible, from Fitch Ratings and pays interest to depositors monthly. The fund is managed by CCLA Fund Managers Limited.

1. Accounting policies

(a) Basis of Accounting

(b) Enrolment fees are recognised in the financial statements when received.
(c) Income, including interest income, and expenditure are recognised on an accruals basis.
(d) Expenditure shown in the Statement of Financial Activities is split between fundraising expenditure, management and administration expenditure and direct charitable expenditure
(e) The charity is exempt from UK income and capital gains tax due to its charitable status.
(f) The charity is exempt from the requirement to prepare a cash flow statement under Financial Reporting Standard No.1.
(g) The Friends are pleased to receive gifts in kind and services donated by members and local businesses. Because of the impracticality of valuing such gifts, and their relative immateriality, these are not itemised in the accounts.

2. Fundraising Events

Profit made on the sale of second hand uniforms and the sale of KCS branded merchandise is donated to KCS Enterprises as a contribution towards bursaries.

3. Trustees’ expenses

Trustees received no remuneration but were reimbursed for goods and services ordered by the Trustees on behalf of the Charity in connection with its fundraising and social events.
