## **Structure, Governance and Management:** 

Rottingdean and Saltdean Lions Club Charitable Trust Fund is governed under a Declaration of Trust dated 14[th] day of December 1990 and subsequently amended by a Deed of Variation dated 12[th] day of August 1996. 

The Trust has six Trustees: 

- The President, Secretary and Treasurer from time to time of Rottingdean and Saltdean Lions Club 

- Three nominated Trustees elected by the members of Rottingdean and Saltdean Lions Club.  Each Trustee is elected for a term of 3 years with one Trustee retiring each year.  Nominated Trustees can stand for a shorter term if elected to fill a vacancy due to a resignation. 

Lions Club District 105SE run training seminars for Lions Club Trustees from time to time covering the duties of Lions Trustees and current charity legislation.  All Trustees are encouraged to attend initial training sessions and refresher sessions when held. 

The Trustees apply the Trust funds having first obtained proposals approved by the members of Rottingdean and Saltdean Lions Club at a Lions Club meeting. 

## **Financial Review:**

Trustees are pleased to report that major fundraising events have now significantly improved since the decline seen during the COVID-19 pandemic.  The accounts show gross income from fundraising activities of £27,409 (£15,605) with fundraising costs of £12,596 (£8,673) leaving a profit from fundraising activities of £14,813 (£6,932).  In addition, the charity received direct charitable income of £4657 (£2,314).  This included £1,369 (£354) restricted funds received from senior citizens towards their Christmas

lunches and donations towards a winter fuel appeal for those in fuel poverty.  This resulted in a total net income of £19,470 (£9,246). 

Charitable expenditure and donations totalling £22,441 (£7,806) were made during the year.  This included £3,037 (£1,947) from restricted funds for books for reception class children, Christmas lunches for senior citizens and donations to alleviate fuel poverty. These donations were made from funds carried forward from previous years plus fuel poverty donations in the current year.  This leaves a restricted fund balance of £4,139 (£5,807) for future use on Senior Citizens Events. 

The combined accounts show a total expenditure over income of £3,386 (£1,440 income over expenditure) for the year.  The total fundraising and charity account balances stood at £22,918 at 30[th] June 2023 which represents a decrease of £3,386 on the balances of £26,304 at the end of the previous year. 

It is Rottingdean & Saltdean Lions Club policy that all fundraising events are subject to the presentation of a financial risk analysis to the Trustees and Trustees’ approval prior to any financial commitments being made.  The Trustees also at the same time consider the risks associated with any event, including reputational risks to the charity of running an event, and ensure the legality, before agreeing to it going ahead.  In addition, the charitable trust fund has a policy to retain a minimum of £6,000 in the fundraising activities account against possible unexpected fundraising event losses, for example, late cancellation of a major outside event due to unpredicted extreme weather conditions.  This reserve also covers the possibility of a request for emergency aid against the charity account. 

Rottingdean and Saltdean Lions Club do not hold a reserve in the charity (service) account in excess of restricted and designated funds, as all donations are discretionary and there are no ongoing commitments.  The charitable funds currently held will be used as further good causes are indentified.  The Trustees are mindful of outstanding pledges (designated funds) of £1,696 for various projects plus the restricted funds of £4,139 making a total commitment against current funds of £5,835. 

Now that fundraising events are back to pre-pandemic levels Trustees are no longer restricting donations to those in need in our local area, although, remain mindful of our primary aim of assisting our local community. 

In addition, Trustees also remain mindful of the uncertainty in raising funds for charitable causes because of the increasing age profile of the current Lions Club membership (average age is in excess of 70 yrs) and the restrictions this places on the Club's ability to run fundraising events.  The Lions Club is taking active steps to recruit new and younger members and have had some success during the year.  We are also maintaining contact with a number of younger volunteers prepared to help at our larger events, requiring more physical effort, who at this time do not wish to become members of the Lions Club. 

## **Funds Held as Custodian Trustees on Behalf of Others:** 

The charitable trust fund holds no assets on behalf of others.

## **Objectives and Activities:** 

The objects of the Trust Deed state that the funds should be applied for any purpose which is charitable according to the law of England and Wales whether for the benefit of any individual or group of people or for the benefit of any other organisation established for charitable purposes. 

Donations were made during the year to numerous deserving causes, including individuals and families in need, all of which provided public benefit in line with the above objects. The largest donations and service event costs being: 

- £2,200 to provide books for Reception Class children. 

- £1,762 aid to disadvantaged families in our local area. 

- £1,752 for 86 Christmas parcels to families comprising of 135 adults and 167 children. 

- £1,750 to Lions Club International Foundation Appeals for aid after Turkey Earthquake and Pakistan Floods. 

- £1,290 towards disability trike for Hill Park School. 

- £1,192 for a public bench in memory of a Lion, mainly paid for from funds collected in lieu of flowers at his funeral. 

- £1,000 to Martlets Hospice. 

- £1,000 to Safety Net, support for vulnerable children. 

- £1,000 to Saltdean Foodbank. 

- £900 towards winter fuel poverty. 

- £728 to Rottingdean Village Fair charities. 

- £600 towards transport for after school clubs at Saltdean Primary School. 

There were numerous other smaller donations below £600. 

The largest sources of income are detailed below: 

- Bucket Collections £3,412. 

- Lions Rottingdean Fayre £3,378. 

- Rottingdean Village Fair Bar & BBQ £2,876. 

- Lions Saltdean Gala £2,080. 

- Bar for Saltdean Coronation event £1,329. 

- Gift aid £1,039. 

- Bars for Adur East Lions events £795. 

- Easter Egg draws £734. 

- Sponsored flyer for summer events £724. 

- Collecting boxes £689. 

- Lions Supporters 200 Club £648. 

- Members plant sales £500. 

## **Achievement and Performance:** 

Expenditure has been distributed to good causes directly in line with the objects set out within the Trust Deed.

The charity account balances have decreased slightly this year by £3,386.  Charitable donations have increased by £14,635 against last year as fundraising income has increased, following COVID-19, and we attempt to help various charities and individuals who we were unable to help when fundraising was restricted. 

Fundraising net income has significantly increased by £7,881 against last year. 

No money collected in the name of the charity is used for Lions club administration.  All administration costs are met by individual Lions, mainly through subscriptions, which are kept outside of the charity accounts. 

## **Conclusion:** 

The Trustees of the Rottingdean and Saltdean Lions Club Charitable Trust Fund and the members of Rottingdean and Saltdean Lions Club are grateful for the help, support and generosity of the residents and businesses within our area comprising of Rottingdean, Saltdean, Woodingdean, Ovingdean and Falmer, without which we would not be able to provide the service and help that we do for those less fortunate than ourselves.
